Your Dedicated Virtual Assistant Partnership
A revenue-focused VA role built around what we discussed on June 8. Designed to unlock the untapped potential sitting in your database... without pulling Rob away from what he does best.

15 Years of Relationship-Driven Real Estate
You've built something rare. A database-driven business that generates 100 deals a year on 60 minutes of daily lead gen. Your Spartan 300 relationships are so deep you know their kids' birthdays and show up at their weddings. That engine works. Here's the opportunity.
The Gap Below the 300
Your B and C contacts... there are pearls in those oysters. 700+ contacts who aren't getting Rob's personal attention, but there's real business sitting in that segment.
Engagement Going Uncaptured
Email opens, social comments, website activity... people are raising their hands and you're not always catching it. That's opportunity left on the table.
Follow-Up Falls Through
Rob's phone conversations generate follow-up homework... send the roofer info, share the contractor list. Right now that depends on him remembering to relay it manually.
Great Content, Untapped Returns
Blog posts twice a week, three newsletter versions by region, quarterly events drawing 150 people. The content machine is running, but you're not fully monetizing the engagement it creates.
Revenue-Focused Database & Campaign Specialist
This person lives inside KW Command and becomes the engine behind your non-Spartan-300 outreach. Their job is to bring fresh water to the pond and find the people who are ready to raise their hand.
Campaign Execution for B/C Contacts
Designing and running targeted outreach campaigns through Command for the 700+ contacts outside the Spartan 300. Think "what's your home worth in this market" type campaigns, executed consistently and tracked.
Database Mining & Engagement Monitoring
Watching who's opening emails, clicking links, commenting on social posts. When someone shows interest, flagging them and initiating follow-up. Moving people up the value ladder from C to B to A.
Air Traffic Control on Rob's Conversations
With a Plaud device capturing Rob's calls, this person reviews transcripts and to-do items. They become the Grand Central Station... assigning homework, ensuring nothing falls through the cracks, confirming every promise gets fulfilled.
KW Command Optimization
Becoming deeply fluent in the platform. Running reports, managing smart plans, setting up campaign sequences, tracking analytics. Finding capabilities you haven't tapped into yet and bringing ideas to the table.
Social Media Monitoring & Engagement
Tracking comments across Facebook, Instagram, YouTube, and Google My Business. Flagging people showing buying or selling signals. No comment sits unanswered for more than 24 hours.
Content Distribution & Repurposing
Taking existing assets (blog posts, newsletters, event footage) and making sure they're repurposed and pushed across all channels. Not creating from scratch, but making sure nothing you've built goes to waste.
What This Role Is NOT
To keep focus on revenue-generating activity, here's what's deliberately excluded from this first role.
Contract-to-close transaction coordination. Your Cyber Backer VAs handle that. This role is squarely focused on pipeline and revenue.
Rob's calendar and appointment prep. Maria already manages that, plus the 86 business fulfillment. No overlap here.
Heavy video production from scratch. Quick clips and content repurposing, yes. Full creative production, no. The bigger win is on the revenue side.
How It Works
A proven model we've refined across hundreds of clients. You get a dedicated, full-time team member... not a freelancer, not a gig worker. Someone who shows up every day, learns your business, and grows with your team.
We Match the Right Person
Based on your assessment and our conversation, we identify a VA with the right skills, personality, and real estate background for your team.
Custom Onboarding & Playbook
We build an OA Playbook specific to Team Taylor. Your tools, your processes, your voice, your expectations... all documented and trained on before day one.
Ongoing Management & Support
A dedicated operations manager oversees your VA's performance, handles any issues, and ensures the role evolves as your needs change. You're never managing this alone.
What You Get
Full-time, dedicated VA (40 hrs/week)
Dedicated operations manager
Custom OA Playbook for your team
No long-term contracts
Training and upskilling included
Replacement guarantee if needed
Tools to Supercharge the Workflow
A few things I'd recommend getting in motion alongside the VA hire. These multiply the impact of everything described above.
📱 Plaud
Get the phone attachment version for Rob. Every call gets recorded, transcribed, and turned into action items. This feeds directly into the VA's air traffic control workflow.
🎬 Teleprompter
For consistent selfie-style video content. AI-generated scripts pushed directly to Rob's phone so he can knock out quick videos after appointments without thinking about what to say.
🎥 Loom
For building your operational knowledge base. Quick screen recordings that become searchable SOPs over time. Great for training the VA and documenting processes.
💌 AM Cards
You're already using these brilliantly. The birthday cards with social media photos that end up on fridges six months later? That's what makes Team Taylor different. Keep going.
🏘️ Nextdoor
Set up an account and start exploring local groups. Your school district expertise is perfect for adding value there without being salesy. The VA can help manage this presence.

Next Steps
Fill Out the Assessment Tool
The assessment I shared during our call will help us get even more specific on where to start and how to structure the first 30 days.
Send Over Your Social Media Channels
Beth, email me the full list of all your active social media channels. This helps us understand the full landscape for the monitoring role.
Order the Plaud Device
Rob, seriously... order it this week from plaud.ai. The phone attachment version. It'll change your workflow overnight and makes the VA's air traffic control role 10x more effective.
We Match, Onboard, and Launch
Once we've got the assessment back, our team will identify the right person, build your custom playbook, and get you up and running. Typical time from green light to launch is 2-3 weeks.
Bonus: YouTube Channel Analysis
We ran a full analysis of your YouTube channel using VidIQ. Performance data on roughly 200 videos going all the way back to 2015... views, engagement rates, VidIQ scores, what's working, and what isn't.
Key Findings
- Your American Dream TV episodes are your best content by far. The Catskill episode hit 531 views and a VidIQ score of 27.2... that's 5x to 10x the performance of typical uploads. This format works.
- The blog promo shorts (2025-2026) are underperforming older content. They average 4-7 views each, while property tours from 2020 were getting 120-220 views. The format directs viewers off YouTube, which the algorithm penalizes.
- Engagement is the most urgent issue. Across the channel, most videos have zero comments and 1-3 likes. YouTube's algorithm rewards engagement heavily... this creates a downward spiral.
- Series start and stop without building traction. Flippin' Friday, Market Monday, themed daily series, American Dream TV... each had potential but none ran long enough to compound.
- The raw ingredients are all there. Rob and Beth have on-camera presence, a memorable brand ("Rob Sold My House"), and the discipline to produce content regularly. What's missing is a strategic framework.
Top Recommendations
- Make American Dream TV your flagship series. Biweekly or monthly. Expand to feature local businesses, seasonal events, school districts. Create Shorts clips from each episode.
- Replace blog promo shorts with "Answer the Question" videos. Same topics, but deliver the full answer on YouTube. Keep viewers on-platform.
- Build a Shorts strategy. 30-60 second clips from full episodes, quick market tips, behind-the-scenes moments. Shorts are YouTube's fastest growth channel for discovery.
- Restructure the channel page. Featured video, organized playlists, clear channel description with keywords. Make it obvious what this channel is about in 5 seconds.
Let's Unlock What's
Already There.
What you've built over 15 years is impressive. Adding the right person in this role is going to open up a whole segment of your database that's been sitting there waiting.
